EVENT INSTALLATION, MODIFICATION & CLIENT RESPONSIBILITY POLICY

Setup Approval & Soft Installations

In certain cases, Orlando Flower Walls™ & Rentals (“OFW”) may perform a “soft setup,” meaning the installation is intentionally left with minor final styling adjustments to be completed closer to guest arrival time. If concerns are communicated during installation, OFW reserves the right to return within a reasonable timeframe to finalize adjustments. If the client declines the return visit, additional styling requests, refunds, or complaints regarding unfinished adjustments are waived.

Client Modification of Installed Decor

Once OFW completes installation and exits the venue space, any movement, repositioning, removal, or modification of installed décor, draping, backdrops, furniture, balloons, florals, or staging by the client, venue staff, guests, planners, photographers, DJs, or third parties becomes the responsibility of the client. OFW is not responsible for the appearance, alignment, damage, wrinkles, gaps, seams, or presentation quality of items altered after installation.

Any requested repositioning or restyling after installation may result in additional labor fees starting at $300.

Design Interpretation & Artistic Style

Client understands that inspiration photos, mockups, renderings, and Pinterest images are references only and are not guaranteed exact replicas. OFW maintains creative discretion regarding materials, proportions, product availability, structural requirements, and installation methods while executing the agreed-upon design concept.

Minor variations in color tone, fabric texture, draping, floral placement, seams, support structures, or backdrop attachment points are considered normal within the event industry and are not considered defects.

Complimentary Items & Discounted Services

Any complimentary products, rental items, discounted services, waived fees, upgrades, or custom additions provided by OFW hold no cash value and are not eligible for refunds, credits, exchanges, or reimbursement under any circumstances.

Approval of Custom Pieces

Custom-painted items, specialty builds, signage, backdrop selections, and stage concepts approved by the client prior to the event are considered accepted designs. Concerns regarding approved designs after installation do not qualify for refunds. We require that you select your pantone shade or color shade of paint from a swatch at your local Home Depot to get as close as possible to your desired color.

Venue Access & Adjustment Opportunities

If OFW offers to return onsite to make adjustments, corrections, or finishing touches and the client declines access or assistance, the client accepts the setup in its existing condition and waives claims related to those correctable concerns.

Rental Day Policy

All rentals are priced per event day unless otherwise agreed upon in writing. Additional event days, extended venue access, delayed pickup windows, or overnight holds may result in additional rental charges.

Respectful Workplace Policy

OFW reserves the right to refuse additional complimentary services, discounts, or future bookings in situations involving verbal aggression, disrespectful treatment toward staff, unsafe work environments, or unreasonable demands beyond the scope of the signed agreement.

Post-Installation Modifications & Liability

Once Orlando Flower Walls™ & Rentals (“OFW”) completes installation and exits the setup space, the client assumes full responsibility for any items that are moved, repositioned, adjusted, altered, handled, or modified by the client, venue staff, planners, photographers, guests, DJs, or any third party.

OFW is not liable for the appearance, structural integrity, alignment, draping, wrinkles, seams, spacing, visibility of hardware, support pieces, backdrop attachment points, damages, or overall presentation of any installation that has been modified after setup completion.

Any concerns regarding hardware, attachment points, seams, balancing, spacing, or design appearance must be addressed before OFW leaves the venue. Once items are moved or altered after installation, all liability transfers to the client, and no refunds, credits, or compensation will be issued for concerns resulting from post-installation modifications.

If the client requests OFW to return and restyle, reposition, or repair items after installation due to client or third-party modifications, additional labor and reset fees will apply.
